Once in Cape Town is a gateway for visitors into the bustling Cape Town scene – we are in search of a dynamic Receptionist at our property, situated in Gardens. Once in Cape Town is a hybrid hotel model, combining the amenities and safety of a hotel, with the fun and atmosphere of a backpackers hostel. It is frequented by foreigners and locals alike, and best known as a place for people to connect and learn about a new side to the famous Mother city.

Role summary:

Reception is the first person guests encounter, it is essential that they are well presented and that engage with guests in a friendly manner, assisting them with their needs whenever possible.

Reception staff members ensure all check-in and out’s are done as per standard, managing daily cash floats and ensuring all logistics related to arrival and departure are done as per standards.

Daily Responsibilities:

  • Check float and open cash drawer to make sure there are R500 in each.
  • Do pit checks of toilet, fire escape doors, kitchen, make sure it is tidy
  • Log onto all booking sites and check the new requests for rooms
  • Allocate unassigned rooms as per their request
  • Highlight no shows for housekeeping to check, once confirmed report to Reservations
  • At 10AM do check-outs, make sure all people checking out are supposed to check out on that day, otherwise collect payment for extension or late check-out. Log in the Property Management System.
  • Collect guest bags from store room provided they give a bag tag.
  • At 2PM do all check-ins: scan ID’s, take photos, hand welcome pack, do welcome speech.
  • If guest did not pay in full beforehand, remind them of their outstanding payment, collect, update details in guest registry.
  • Make sure your shift leaves a tidy reception to the next shift.
  • Prepare welcome packs with wifi code, tours to dod urign CT.
  • Print out the end of day cash file.
  • By the end of the shift cash up, close drawer and hand over float.

Requirements:

  • Matric (Essential) or A-level education or international equivalent
  • Diploma/Degree in Hotel Management or related field (Desirable)
  • Fluent in written and spoken English (advanced level)
  • Knowledge and appreciation of Diverse Cultures
  • Knowledge of Rooms Division
  • Knowledge of Property Management systems
  • Understanding of Health and Safety policy and procedures
  • Understanding of Yield Management
  • Understanding of Sales techniques
  • Understanding of Hospitality Industry Ratio’s
  • Basic understanding of IT, AV & Telecommunications software & hardware system
  • Minimum 1 year relevant experience in Front Office
  • Hospitality experience or similar B2C business with high volumes
