Virtual Assistant

This is a remote position.

  • Accessing, screening, managing and replying to emails/calls on behalf of the CEO
  • Scheduling of board Exco meetings as well as organising meeting packs
  • Setting up conference calls and meetings
  • Managing all travel arrangements
  • Record keeping and document management
  • Assisting marketing team
  • Procurement of supplies for the office and for the CEO
  • Support CEO with personal matters as required
  • Arrange events, engage suppliers and clients
  • Taking minutes and submitting memos as required
  • Manage and compile documents as needed
  • Support with tenders, research and putting together presentations.
  • Manage insurance requirements, any logistics requirements
  • Consolidation of monthly reports
  • Operational support
  • Attend Meetings and execute action points as required
  • Deal with clients and execute tasks and actions as required
  • Other duties assigned by CEO or executive team

Requirements

  • 5 years plus as a PA/ Exec PA
  • 2 years as a Virtual Assistant
  • Strong communications skills, articulate
  • Prompt, organised and proactive
  • Service orientated
  • Friendly and flexible
  • Tech-savvy
  • Advanced Excel skills
  • Able to work on CRM’s and systems like Slack, Trello, Hubspot etc
  • Financial acumen and numbers strong
  • Must have the ability to solve complex problems, solutions orientated and driven
  • Projects are driven, meeting deadlines, and required timelines
  • Ability to coordinate and work independently and remotely
